We are seeking a highly organized and proactive Executive Assistant to support the CEO during a critical 2-month period, including their 3-week business trip to Pakistan across major cities. This role is crucial for ensuring the smooth operation of the CEO’s professional and personal activities and requires a strong background or understanding of the fashion industry, especially in Pakistani womenswear. You will act as the primary liaison between the CEO and prominent fashion brands, manage all aspects of the CEO’s schedule and travel, and maintain a high level of professionalism and discretion.

Key Responsibilities:

  1. Client Interaction & Industry Knowledge:

    • Act as the primary liaison between the CEO and leading Pakistani fashion brands, leveraging your deep knowledge of the brands and current industry trends.
    • Represent the CEO in meetings, fostering strong professional relationships and ensuring effective communication.
  2. Meeting Support:

    • Accompany the CEO to all meetings, providing comprehensive note-taking, managing meeting agendas, and ensuring smooth communication between all parties involved.
    • Prepare and manage meeting minutes and follow-up actions with meticulous attention to detail.
  3. Appointment & Travel Management:

    • Schedule and coordinate all appointments, ensuring the CEO’s time is optimized.
    • Handle all travel arrangements, including transport and accommodation, across Karachi, Lahore, Islamabad, and other locations as needed. Ensure a seamless and efficient travel experience.
  4. Executive Support:

    • Serve as the first point of contact for the CEO, managing correspondence, phone calls, and inquiries efficiently.
    • Prepare reports, presentations, and other critical documents, balancing both professional and personal tasks as necessary.
    • Adapt to the CEO’s working style, preferences, and needs to provide tailored support.
  5. Availability & Flexibility:

    • Be prepared to assist the CEO at any time during the 3-week trip, ensuring all aspects of the journey are managed smoothly.
    • Provide on-the-spot support for last-minute changes and urgent tasks, demonstrating flexibility and problem-solving skills.
  6. Research & Networking:

    • Conduct thorough research on the Pakistani fashion industry, identifying key players, trends, and opportunities to support the CEO’s business goals.
    • Assist in building and maintaining a network of industry contacts, facilitating introductions, and fostering new business relationships.
  7. Confidentiality & Discretion:

    • Handle sensitive information with the utmost confidentiality and discretion, protecting the CEO’s privacy in all communications and interactions.
  8. Professionalism & Representation:

    • Maintain impeccable presentation and a keen sense of fashion, reflecting the CEO’s standards in all interactions.
    • Your appearance and demeanor must align with the professional image required in the fashion industry, acting as an extension of the CEO\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\\'s personal and professional brand.
  9. Time Management & Problem-Solving:

    • Efficiently manage multiple tasks, ensuring deadlines are met and work quality is maintained.
    • Exhibit strong problem-solving skills, offering practical solutions and making sound decisions in fast-paced situations.

Requirements:

  • Expertise in Pakistani Fashion: Extensive knowledge of leading Pakistani fashion brands and current trends is essential.
  • Communication Skills: Strong English language skills (speaking, reading, writing) for effective communication.
  • Networking Ability: Proven ability to build and maintain valuable industry contacts.
  • Geographical Knowledge: Familiarity with Karachi, Lahore, Islamabad, and efficient navigation within these cities.
  • Flexibility & Dedication: Must be adaptable and capable of managing demanding schedules and last-minute changes.
  • Travel Willingness: Comfortable with extensive travel and on-the-ground support throughout the trip.
  • Career Ambition: Potential for transitioning to a full-time role based on performance.

Work Arrangement:

  • Remote Work: The first month involves remote work.
  • In-Person Work: The second month includes working directly with the CEO from various locations as required.
  • Expenses: All travel, accommodation, and food expenses will be covered during the trip. In-city travel expenses and lunch will be provided when working locally.
