Position:              Human Resources Officer  

Location:             Based in Quetta with frequent travel to the field

Report to:           Country HR Coordinator

Duration:             till August, 2025

Position Summary: The HR Officer reports directly to the HR Coordinator and is responsible for ensuring the day to day HR functions are performed in accordance with company policies and procedures and HR best practice and guidance to Program Team on HR policies and procedures.

Recruitment:

  • In collaboration with the HR Coordinator, assist in the development of staffing and recruitment plan to ensure that each team.
  • Ensure staff hiring is conducted efficiently and in compliance with organizationl policies and national labor laws.
  • Ensure a transparent, timely and efficient recruitment process.
  • Ensure all the personnel files are complete with all the required documentation. Supervise the collection, check, archive and update of all personnel files / documents
  • Starting from the recruitment (staff requisition form, CV, tests, hiring letter, transfer letters, appraisal form, etc.) and maintain a confidential filling system for all personnel files.
  • Coordinate with relevant department for the vacant positions and run the transparent recruitment process.

Employee Relations

  • Manage processes related to disciplinary actions, staff separation, and termination.
  • Respond to employee related queries and provide services to all HR related inquiries and requests.
  • Make sure that employees’ files are auditable at all times as per company standards and any relevant donors’ requirements.
  • Ensure proper archiving of staff documents. Approve employment certificates for company staff in Pakistan.
  • Manage all documentation related to terminations and layoff
  • Ensure all promotion and salary changes are according to company policy on salary adjustments.
  • Act as incident reporting focal point and support investigations.

 Orientation & Trainings:

  • Lead regular training and refresher sessions for staff in company policies and procedures.
  • Ensure essential policies (harassment, code of conduct, conflict of interest, child protection, etc.) are read, understood, signed by staff and filed as appropriate.
  • Provide orientation to new joiners and complete all onboarding documentation.
  • Ensure that staff training assessment is linked to Performance Development as per Performance Review process.​

Performance Management:

  • Manage the staff performance evaluation at the field level and provide ongoing support to users, including responding to various inquiries raised by different employees, clarifying the appraisal forms, methodology etc.
  • Ensure that all performance reviews are completed on time and properly documented and placed in staff files.

HR Operations:

  • Manage staff leaves and timesheet and share the details with Country HR on a timely basis.
  • Maintain the leave tracker and share leave balance details with all staff on a monthly basis.
  • Verify, scan and dispatch all health insurance claims and maintain this data in a log.

QUALIFICATIONS & REQUIREMENTS

  • This position demands a dynamic individual with a demonstrated ability to achieve results in a demanding and fast paced environment.
  • Master’s/ Bachelor degree level from recognized and reputed universities, preferably with major in HR and professional qualification/training in HR.
  • At least 05 years progressive fulltime employment in a similar position preferably in nonprofit sector with at least 03 years in an HR supervisory/management position.
  • Strong experience of developing and implementing HR policies, procedures and systems.
  • Direct experience of organizing large scale recruitment.
  • Ability to prioritize and deal with competing demands.
  • Well-developed conceptual, critical, and analytical thinking with the ability to convey complex information in a straightforward way and influencing this to a wider audience.
  • Fluent spoken and written English and other local languages.
  • Excellent organizational, interpersonal and communication skills.
  • A team builder with excellent people skills; culturally sensitive and has the ability and interest to identify and work with a multicultural team.
