A. Human Resources
Receive applications for employment; maintain candidates’ data in recruitment database.
Assist HR Officer with translation of candidate’s CV credentials.
File the interview records and application forms of non-selected candidates for future reference. Support the HR Officer in maintaining a roster of qualified applications and review interview records to insure all qualified applicants are included, and search for candidates upon request.
Assist new staff member with induction.
Prepare new ID cards for new International and National staff.
Receive and update the staff lists from bases and pass them to HR Officer.
B. Administrative support
Follow up monthly payment for office and GH electricity, water supply, and telephones.
Support department colleagues in daily relevant activities.
Update monthly reporting documents (i.e. Admin FU).
Performs other duties as requested.
Manage the organization of the Guesthouse and ensure that all arriving staff are allocated a room and that it is cleaned and prepared.
C. Budget Control
Accountable for his area accountancy;
Follow up of financial and accountancy procedures of ACTED Myanmar;
Accountable for efficient flow of financial and accountancy information to Country Finance (including CFU, cash situation and cash request, running costs analysis);
Financial accountability of his area’s project;
D. Cost Control
Ensures that all resources of his area is allocated on the project;
Ensures that the running cost of his area does not increase above the standard norms and is consistent with the market prices;
Ensures that non allocated resources are not used on any project, unless an approval is given by the CFM;
E. Links with other departments
Coordinate with other FLAT departments at the area level;
Coordinate with the Programme Departments to understand and respond to their financial needs

Prepare Purchase Orders
Arrange travel and accommodation
Organize and facilitate meetings, Visits, Workshops and Conference Events as required.
Line-Manage and supervise the cleaner, Office boys and drivers including monitoring performance and activities.
Ensure that all office Facilities & equipment are always functional and oversee arranging any repairs, replacements & maintenance.
Maintain Office security as necessary.

· Arrange travel and accommodation

PROCUREMENT
· In Custody of all office Assets, their safety, insurance, tracking movements, regular updates of the asset register and spot check.
· Ensure procurement procedures and authorization procedures are followed.
· Prepare Purchase Request, Purchase Order and Invoice Authorization Form.
· Sort incoming supplier quotations, invoices and payment request.
· Visit All vendors and check rate accuracy.
