Leading and monitoring all departments of Chawla Aluminum Industry. Looking overall tasks as assigned by Director at Office mainly:
Ø Acting as a first point of contact: dealing with correspondence and phone calls
Ø Managing cash flow, billing invoices, accounts ledger of parties and payroll of contractual Staff.
Ø Managing diaries and organizing meetings and appointments, often controlling access to the manager/executive
Ø Reminding the manager/executive of important tasks and deadlines
Ø Maintain Director’s office systems, including data management and filing.
Ø Implementing and maintaining procedures/administrative systems
Ø Liaising with staff, suppliers and clients
Ø Screen calls, enquiries and requests, and deal with them when appropriate.
Ø Assist Director in researching and following up with action on matters which fall within the Director’s responsibility – chasing responses, triggering follow-up action.
Ø Maintain records of Director’s contacts.
Ø Produce documents, briefing papers, reports and presentations for the Director.
Ø Meet and greet visitors at all levels of seniority.
Ø Supervise all Trust incoming/outgoing mail.
Any other duties as may reasonably be required by the Director.

Leading and monitoring the admin department team. Looking after all administrative aspects of the group at Head Office mainly:
Ø Protocols & Visa handling for all three sites and directors.
Ø Managing Petty Cash Account for Food and Transportation.
Ø Internal and External Office Shifting.
Ø Arrange travel and accommodations ( Hotel Booking).
Ø Organize and supervise other office activities (recycling, renovations, event planning etc.)
Ø Record keeping for maintenance of pool and company provided vehicles.
Ø Submit expense reports
Ø Maintain a filing system for data on customers and external partners
Ø Organize, store and print company documents as needed
Ø Receive and screen phone calls and redirect them when appropriate
Ø Handle queries from managers and employees
Ø Organize a filing system for important and confidential company documents
Ø Assess staff performance and provide coaching and guidance to ensure maximum efficiency
Ø Ensure operations adhere to policies and regulations
Ø Update office policies as needed
Ø Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.
