Maintain and update proper computerized information system of campaign and DDM data.
Assist in getting campaign coverage data from all districts as well as union council levels, Identify problems/inaccuracy in data files and inform supervisor enable timely corrections.
Provide full administrative support to programme, Drafts, reviews correspondence. Take notes at meetings.
Develop, establish and regularly maintain a database of trainees (MS Access) which is available to office staff for review and assessment.
Make travel arrangements and process security clearance. Book accommodation and arrange airport transfers as necessary.
Coordinate with provincial offices and follow up on requests for renewal of UNLP,s contracts, travel, work permits, visas etc.
Assist in organization of meetings to be held at districts levels and makes all administrative and logistic preparations.
Establish and maintain electronic and hard copies filing system of the technical unit.
Regular project data entry on specified formats and produce information, data and statistics for agreed and ad-hoc reports.
o Classification and coding data to be entered, keys from a variety of prepared and original source documents, forms, and records.
o Identifies and corrects errors and verification of data and presents the findings of the data analysis to MIS team.
o Responsible for data quality audits and reporting for data completeness, consistency and correctness, and system diagnosis to ensure data integrity, and reliability of automated tasks
o Ensure the programs databases meet the data management, protection and information security guidelines.
o Ensure that the application and reports designed on time and fulfill the reporting requirements.
o Delivers ad-hoc extracts (qualitative aspects) that support different program reporting requirements. A custodian of online data at the district/project level.
o Update & provide data for monthly program reports, activity matrix and PowerPoint presentations as and when required.
o Provide support in the implementation of document management system and maintain a project document checklist and tracking sheets at the district level.
Develop database systems in Microsoft Access.
Enter and maintain data/information in the database.
Conduct data analysis as required, and design and print reports.
Take regular backups and store safely.
Ensure data is secure from unauthorized access and maximize database uptime.
Facilitate field and desk research, data analysis, and writing reports.
Facilitate project monitoring and evaluation exercises.
Participate in integrated planning and cooperation, and help identify opportunities for future projects.
