Develops and achieves the effectiveness of Public Affairs exchange programs. Coordinates travel, visas, financial payment and follow up. Maintaining data entry for Exchange Visitor.
 Monitor, update exchange list, external contact lists as well as address book of IRC Pakistan including staff cell numbers, email addresses and Skype ID on monthly basis, in coordination with HR and Admin & Recruitment Manager.
 Provide support in arranging national and international staff’s international travel for official and personal purpose. Coordinate external IRC requests for conferences, travel and meetings, visa. Keep clear and easily accessible records of all requests. Also requests national and international staff for their boarding passes upon their arrival in country.
 Coordinate outgoing mail/packages with Supply Chain department and ensure safe delivery of documents and maintain effective tracking/log sheet. Also, sort photo copy, and distribute mail, memos, emails and other internal and external communications.
 Update, maintain and improve upon the administrative and correspondence tasks; office filing systems and collate documents and paperwork. Ensure to complete, up-to-date filing of travel ticket, paperwork as well as for timesheets folder, etc.
 Scheduling external meetings, obtaining visa information of IRC staff and coordinate travels, prepare invitation letters and share with visitors, disseminate memos, on additional tasks to build capacity in trying to carry out tasks independently.
 Assist other support units in day to day tasks, e.g. maintain conference room booking roster, coordinate with Supply Chain team/guards about expected visitors/meeting participants
 Supervise Support staff i.e. Kitchen staff, cleaner and Gardner, ensure their duties roaster is up to dated, explain their duties within the country office.
