Responsibilities for Talent Acquisition Specialist
Work closely with management on all diversity initiatives involving recruitment to ensure fairness in hiring practices
Use various methods to recruit and network with potential candidates including social media platforms, networking events and job fairs
Ensure proper onboarding for new hires and the necessary paperwork is completed promptly and accurately
Conduct preliminary interviews (by conducting telephonic interview and face to face interviews) with recruits to gauge interest, personality and salary requirements
Need to source the candidates from the various recruiting agencies and the ads posted online.
Provide feedback to management about details regarding applications
Using standardized screening techniques, Assess the skills, qualifications and experience of potential candidates
Actively work toward building a diverse and qualified team to support the organization
Meet with Human Resources to have a full-scale understanding of hiring needs and available positions within the company
Support HR manager with the daily HR operations and processes.
Develop strategies and implement changes that improve job knowledge.
Collaborate with the Manager to systematically manage the business’s HR policy
Managing employee’s grievances (issues and complaints).
Work on EOBI Registration & Payment for the Staff.
Maintain and update HR formats (e.g. timesheets, Flight request forms, leave form, overtime claim form etc.) based on revisions made to conditions of employment and travel policy.
Recruitment and selection process of national staff in close cooperation with the respective supervisors ensuring that this is in line with MSF Rules regulations and respective National Labour Laws.
Work on the recruitment functions like as; job posting on job portals , CVs download, conduct Calls to the candidates for the test & Interviews, prepare interview grids/Comparison on Recruitment tool, prepare job offer letter and prepare Employee Contracts. Work certificates, etc…
Prepare an orientation/induction package for all new recruit staff on MSF policies and procedures within the first two weeks of joining for all to understand the goals and objectives of MSF -Holland.
Support HR Manager in developing HR planning strategies, considering the immediate and long-term staff requirements.
HR filing system - Maintaining the physical & digital personnel records- HR Digitalization on 365 Software.
Assist in payroll with encoding data in Homere for Annual leave, overtime, sick leave etc.
Ensure with finance department a timely payment of utility bills & HR related invoices. Obtaining and justifying cash advances with finance department.
Ensures timely payment of post-paid phone bills, sharing bills with respective users for personal phone reimbursements and sharing the summary of personal calls amount with finance department.
Supports the Learning & Development Manager for administrative tasks such as preparation of training materials, workshops, and applications for the international training courses.
Place an Order for the training materials (binders and certificates)
Under guidance of L& D manager review existing JDs and succession/Development plans.
Under guidance of L& D Manager, oversee effective methods of goal setting, communication and Empowerment through responsibility to build employee ownership of the organization.
Ensure effective practice of MSF performance management cycle (quarterly one-on-one meetings between employee and Delegate line manager on objectives, annual appraisal, and development of new objectives for next year).
Conduct work environment surveys to identify needs for further improvement and enabling a conductive environment. (Inclusive of team building, workplace and gender ethics, code of conduct refresher)
Preparation of visa documents for national and expatriate staff and Focal person for submission of visa & NOCs, official correspondence and related documents to the concerned Authorities/ Departments as required by HR & Admin department.

Facilitation in travel, accommodation & visa arrangements for MSF Staff / Visitors
Arranging expat accommodation at expat staff house.
Updating daily mission domestic/international movements and sharing with concerned staff / departments.
Organize international travel plans (R & R and trainings) and visa procedures of international staff.
Requisitioning and ordering the stock levels of supplies and materials for the office and Expat houses
Orders and maintains the house and office supplies for the cook, cleaners and Stationary.
Team management and supervision of administrative /domestic staff e.g. cooks office cleaners.
Completion of HR files
Coordinate with Base HRs in fields and complete the personnel files of all ACF International staff
Verify that all the documents are present in each employees file as per provided check list
Digitalization:
Scan all employee file documents
Prepare folder inside each staff folder for each category ensuring that all the documents are scanned and placed in files.
Focal person for external Liaisoning , Coordinating with Government officials for visa processing
Processing visa from immigration office
Ensuring work visa status for the expatriates working with ACF Pakistan and visiting ACF Pakistan Mission
Prepare and submit the all required documentation to MOI and foreign Embassies for the issuance and/or extension of visas.
Assist in the submission of required documentation for related applications for the issuance and/or extension of official documents (e-g. government ID, visa, and No-Objection Certification)
Follow-up of visa related applications to be undertaken with the concerned authorities at MOI and immigration office.
Maintain a data base on the visa-related status of Expats to enable adequate tracking and appropriate action to be taken.
Assist in the submission of visa applications for staff traveling outside Pakistan on official missions.

Also responsible for collecting the signed leave record from respective field office on monthly basis and verified from Administrator.
Focal Person for staff Health & Life Insurance, communicate with staff claims, track the staff addition & deletion with Insurance Company on monthly basis as per requirement and reconcile the financial record of Health Insurance.
Responsible for preparation of staff id/business cards.
Design the IEC material when needed for projects.
Responsible to supervise the office cleaning and mess arrangements with support staff
Assist preparation of employee salary slips with accurate leave balance

Administrative tasks:
