We are seeking a proactive and highly organized Office Coordinator with strong management and technical skills to oversee office operations, support business functions, and enhance workflow efficiency. The ideal candidate will manage administrative tasks, coordinate team activities, and draft professional proposals and quotations for clients. Candidates with a background in printing or related fields will have a distinct advantage.

Key Responsibilities

Office Management

  • Serve as the primary point of contact to ensure smooth communication and coordination between departments.
  • Oversee day-to-day office activities, ensuring adherence to company policies and efficient operations.
  • Monitor and maintain office systems, supplies, and resources to meet organizational needs.

Administrative Oversight

  • Manage schedules, appointments, and meetings for management and staff.
  • Prepare and organize documentation, including reports, presentations, and internal communications.
  • Coordinate with vendors and external stakeholders to ensure timely delivery of services and materials.

Proposal and Quotation Drafting

  • Prepare and draft professional project proposals and quotations tailored to client requirements.
  • Collaborate with technical and sales teams to ensure proposals are accurate, competitive, and meet client needs.
  • Follow up with clients on submitted proposals and quotations, promptly responding to queries and revisions.

Employee & Workflow Management

  • Track team performance, ensuring timely completion of assigned tasks and deliverables.
  • Assist in designing and implementing workflows to enhance productivity and efficiency.
  • Ensure employees are aligned with company goals and support their professional development.

Accounts & Financial Coordination

  • Collaborate with the accounts department to manage billing, monitor payments, and maintain accurate financial records.
  • Provide support in preparing financial summaries and tracking expenditures.

Project & Client Support

  • Liaise with clients to understand project requirements and ensure smooth execution.
  • Track project progress, ensuring deliverables meet deadlines and client expectations.
  • Maintain client relationships, addressing their concerns and providing regular updates.

Qualifications

Education:

  • Bachelor’s degree in business administration, management, or a related field. A degree in printing technology or a related discipline will be a significant advantage.

Experience:

  • Minimum of 2-3 years in office coordination, management, or administrative roles, preferably in a technical or printing environment.

Technical Skills:

  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Ability to draft detailed proposals and accurate quotations.
  • Basic understanding of printing products and services.

Management Skills:

  • Strong leadership and organizational capabilities.
  • Excellent communication skills, both verbal and written.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
