Key Responsibilities:

Document Management

  • Organizing, maintaining, and updating sales documents, contracts, invoices, and purchase orders.
  • Ensuring documents are properly categorized, filed, and stored both electronically and in hard copy.
  • Regularly reviewing documents for accuracy, completeness, and compliance with company standards.

Data Entry and Record Keeping

  • Inputting sales data into the company's database or document management system.
  • Updating sales records as transactions occur, ensuring all information is current.

Coordination and Communication

  • Collaborating with the sales team to collect necessary documentation for sales transactions.
  • Acting as a point of contact between the sales team and other departments for document-related inquiries.

Quality Assurance and Compliance

  • Ensuring that all documents meet the company's standards and are compliant with relevant policies and regulations.
  • Assisting in audits by providing necessary documentation and reports.

Supporting the Sales Process

  • Assisting in the preparation of sales proposals, quotes, and presentations.
  • Handling administrative tasks like tracking sales orders, delivery schedules, and shipment documentation.

Report Generation

  • Preparing and distributing sales reports, status updates, and other documentation for management and the sales team.
  • Assisting in tracking sales performance and providing relevant data for analysis.

Maintaining Confidentiality

  • Handling sensitive sales information with confidentiality and discretion.

Filing and Archiving

  • Archiving outdated or completed documents and ensuring they can be retrieved when needed.
