This full-time position manages day-to-day activities to ensure the business is running efficiently and meets the expectations and needs of customers and management. Assists with the management/administrative aspects and has operational control of a range of projects. May work on assignments related to project development and management initiatives, internal operating procedures, business processes, and policies.
An employee must have leadership qualities along with the capability to identify new business opportunities, maintain relationships with existing clients, work on business strategy and growth, and excellent management skills to manage and run the company’s day-to-day projects. The person must have access to a good internet connection, a laptop or Desktop PC, and a smartphone – to access all company’s, freelancers’, and clients’ queries via mobile apps.
Qualification required: A degree in Business Administration, Operations Management, or a related field is essential.
Experience: Minimum two years of demonstrable experience in the related field.
Office hours: Office hours will be from 1 pm to 9 pm PST Monday to Saturday. However, the Business Operations Coordinator might need to be available on social media pages and chat with clients beyond office hours as well to answer any queries, as well as to deal with the company’s urgent tasks.

The responsibilities of the Business Operations Coordinator will be to:
- Oversee freelancers, developers, and SEO experts and ensure that they are doing their job and keep company management software up to date.
- Respond to potential clients’ queries on the website (live chat), Facebook page and profile, Instagram, LinkedIn, Twitter, and email, and be available on the mobile chat app, WhatsApp, and social media to answer any queries. An administrator is expected to install all relevant social media and chat with clients on his/her smartphone.
- Prepare and send timely quotes/invoices/receipts for potential and existing clients.
- Receive advance payment from the client before giving the go-ahead to the freelancers.
- Keep track of time for all the projects assigned to freelancers, web developers, and SEO experts and remind them when necessary.
- Send the project for a quality check to the designated person before passing it on to the client.
- After a quality check, receive full payment before releasing the final project to the client.
- Work closely with the company Managers and keep them updated regularly without the need for their reminders.
- Monitor search algorithms set by search engines and audit the company’s and client’s websites.
- Check website responsiveness and handle technical SEO with the developer where needed.
- Coordinate with freelancers/developers/SEO experts to get to know about their availability and suitability for projects.
- Recruit new freelancers/staff where needed.
- Advise the Manager beforehand when there is a need to hire a professional and expand in the future.
- Research business or economic trends and recommend viable new growth strategies.
- Train, coach or mentor company employees if needed.
- Maintain visible Facebook, Twitter, LinkedIn, Instagram, WhatsApp accounts, and other social media sites and create digital means for marketing the brand online and creating promotions.
- Advertise services on all social media platforms.
- Come up with unique marketing ideas to promote our services and develop flyers and brochures as and when required.
- Develop engaging, creative, innovative content for regularly scheduled posts, which enlighten audiences and promote brand-focused messages.
- Keep the social media pages active, and engage existing users in social media by the regular posting of educational stuff or by other creative means.
- Responsible for content planning, creation, and analysis, Traffic gathering, strategies and implementation & Traffic Analysis (Google Analytics).
- Keep pace with emerging online trends to increase the effectiveness of marketing and promotional programs.
- Provide feedback on the impacts of marketing regularly during weekly (Friday)/monthly meetings and recommend necessary improvements.
- Help to promote likes/fan following on Facebook/Instagram/Twitter/LinkedIn/WhatsApp.
- Drive targeted traffic to the website through effective community-building.
- Employing user experience (UX) and conversion rate optimization methods to turn visitors into active users.
- Accumulate useful keyword research.
