We are seeking a proactive, detail-oriented, and highly organized individual to serve as the Executive Assistant to our CEO. This role will involve managing the CEO’s calendar, overseeing project timelines, coordinating team communications, and handling various administrative tasks. The ideal candidate should also demonstrate strong skills in graphic design (particularly with Canva and Adobe tools) and exhibit expert-level proficiency in Microsoft Excel for data entry, analysis, and reporting.
Key Responsibilities:
Calendar and Time Management
Efficiently schedule and coordinate appointments, meetings, and events for the CEO
Proactively manage daily and weekly calendars to ensure optimal use of the CEO’s time
Anticipate scheduling conflicts and resolve them promptly
Team Coordination & Project Support
Act as a central point of communication between the CEO and various teams
Track and monitor project timelines, ensuring deadlines are met
Prepare meeting agendas, take notes, and ensure action items are followed up
Graphic Design & Content Creation
Design visually appealing presentations, marketing materials, and reports using Canva and Adobe tools
Collaborate with relevant teams to develop and refine graphics for internal and external communications
Data Entry & Excel Expertise
Handle data input, analysis, and management in a timely and accurate manner
Use advanced Excel functions (pivot tables, VLOOKUP, macros, etc.) to generate insights and create detailed reports
Ensure data integrity and maintain efficient record-keeping systems
Administrative Support
Manage email correspondence, prioritize incoming requests, and respond on behalf of the CEO when necessary
Organize and maintain electronic files, ensuring easy access to critical documents
Assist in event planning, travel arrangements, and other administrative tasks as needed
