We are currently seeking a professional and personable Female Receptionist to join our team and serve as the first point of contact for our guests and clients. The ideal candidate will have excellent communication skills, a warm and welcoming demeanor, and the ability to handle a variety of administrative tasks with efficiency and professionalism.

Responsibilities:

Front Desk Operations:

  • Greet visitors and clients in a friendly and courteous manner, ensuring a positive first impression of the organization.
  • Answer incoming calls, direct calls to appropriate personnel, and take messages as needed.
  • Manage incoming and outgoing mail, packages, and deliveries.

Customer Service:

  • Provide excellent customer service by addressing inquiries, scheduling appointments, and assisting guests with any requests or concerns.
  • Maintain a tidy and organized reception area, ensuring it reflects the professionalism and values of the organization.

Administrative Support:

  • Assist with various administrative tasks, including data entry, filing, photocopying, and scanning documents.
  • Coordinate appointments and meetings, including scheduling conference rooms and preparing meeting materials.
  • Assist with travel arrangements and accommodations for staff members, as needed.

Communication and Coordination:

  • Serve as a liaison between clients, visitors, and internal staff members, relaying messages and information accurately and promptly.
  • Collaborate with other departments to ensure seamless communication and coordination of tasks and projects.

Office Management:

  • Monitor and maintain office supplies inventory, placing orders as needed to ensure adequate stock levels.
  • Assist with the maintenance of office equipment, including troubleshooting basic issues and coordinating repairs as necessary.

Qualifications:

  • Proven experience as a Receptionist or in a similar customer-facing role is preferred.
  • Excellent verbal and written communication skills, with a professional and friendly phone manner.
  • Strong organizational and multitasking abilities, with attention to detail.
  • Proficiency in Microsoft Office.
