A highly equipped Administrative Assistant with experience in performing a variety of administrative and staff support duties for a specified department, which require a range of knowledge and skills of organizational procedures and policies; directing and assisting visitors, and resolving administrative problems and inquiries; composing, editing, and proofreading correspondence and reports, and preparing a range of administrative documents.
• Operate the telephone switchboard and place calls, as requested.
• Maintain up-to-date and accurate phone logs.
• Process and document incoming and outgoing correspondence, in keeping with IRC guidelines and procedures.
• Prepare mail pouches, including transmittal sheets, for field offices.
• Help to foster and facilitate cooperative professional relations between and among staff at all levels, particularly in relation to the provision of administrative support services.
• Participate in professional training and development activities, as needed or requested.
• Perform other duties, as needed or requested.

• Issuing operational equipments (Cell phones, Laptops, Digital camera, Multimedia )to local and expiate staff for official use and kept tracking of the items issued
• Processing and keeping track record of staff attendance and leaves.

• Supervise and conduct appropriate reception and direction of all visitors and callers
• Develop, implement and supervise correspondence/mail services including pouches, mailboxes, incoming and outgoing correspondences, including distribution of all correspondences including internal memos and maintenance of mail registers.
• Promote cooperative professional relations between administrative and other program and support staff.
Provide administrative and operational support to conduct the programme activities including logistical arrangements.
Draft all necessary administration and financial management correspondence and be responsible for follow-up.
Arrange travel and accommodations
Organize a filing system for important and confidential company documents
Manage office supplies stock and place orders
Prepare regular reports on expenses and office budgets

• Prepare departmental deposits.
• Fulfill purchase requests and reimbursements.
• Print financial reports and other financial material as needed.
• Assess office supply levels and order as needed.

• Incoming/outgoing files are tracked in the system and kept in the filing room when not in use by meeting section staff.
• Filing rooms (active and closed) are arranging alphabetically.
• Correspondence/documents are filed in the physical file and data entered in the database.
• Arrange all the things with respect to concern field
• Receive record and forward incoming correspondence and manage its proper distribution to the responsible officers.
• Draft routine correspondence, and respond to queries relating to area of responsibility.
• May be required to assist the Protection and Refugee Status Determination units with maintaining and updating the interview schedule as well as communicating with applicants regarding their scheduled appointment.
• Ensure the general maintenance and smooth running of the filing room, i.e. physical arrangement, cleanliness and security.
• May be required to provide clerical and administrative support by stocking and supplying stationery, receiving and dispatching of external and internal office pouches and handle all official documentation.
