We are seeking a detail-oriented and reliable Virtual Assistant to help streamline our operations and ensure smooth communication between tutors, parents, and students. This role requires someone with strong organizational and communication skills who can manage multiple responsibilities while maintaining a high standard of work.

Key Responsibilities:

Lesson Booking and Scheduling:

  • Coordinate and schedule lessons between tutors and students, ensuring timely communication.
  • Manage any changes or rescheduling requests and maintain up-to-date calendars for tutors.

Tutor-Parent Feedback Coordination:

  • Schedule regular feedback sessions between tutors and parents to discuss student progress.
  • Ensure timely delivery of progress reports to parents.

Compliance Monitoring:

  • Ensure tutors are adhering to company standards and protocols, including attendance, preparation, and lesson quality.
  • Provide reminders and follow-up with tutors to ensure compliance.

Payment Processing:

  • Track and manage payment schedules for tutors, ensuring timely and accurate payment processing.
  • Assist in maintaining financial records for tuition fees and tutor payments.

Marketing Support:

  • Assist with basic marketing activities, such as managing email campaigns, social media updates, and other promotional efforts.
  • Help with generating and nurturing leads through online platforms.

WhatsApp and Communication Management:

  • Manage WhatsApp communications, responding to inquiries, following up on leads, and ensuring clear communication between tutors, parents, and students.
  • Help manage customer service queries and concerns through WhatsApp or other platforms.

Lead Management:

  • Organize and track incoming leads, ensuring timely follow-up and efficient onboarding of new students.
  • Maintain and update CRM tools with accurate information about leads and clients.

Administrative Support:

  • Provide general administrative support, including responding to emails, maintaining records, and supporting the management team with ad-hoc tasks.
  • Assist with creating and maintaining schedules for all team members.
