JOB DESCRIPTION AND MAJOR RESPONSIBILITIES
SECRETARIAT
Preparation of agenda & working papers for Meetings e.g. Executive Committee, EOGM, Standing Committees, and Annual General Meeting.
Properly dissemination of Agenda and Working papers to the concerned members.
Inviting members of committees for the meeting.
Dissemination of required information to special invitees of the committee.
Preparation of comprehensive minutes of the meeting.
Maintaining minutes book under the purview of Trade Organization Rules 2013.
Managing various affairs in accordance with The Memorandum and Article of Association.
Compliance of regulatory requirements of regulatory authorities e.g., DGTO, SECP, FPCCI etc.
Preparation of Annual Election Schedule, conducting elections and supervision of complete procedures in the purview of prevailing laws.
The final execution of Election Schedule in accordance with the Trade Organization Act 2013, Trade Rules 2013 and The Memorandum and Article of Association.
Supervision of subjective files and its catalog.
ADMINISTRATION
Preparation of SOPs, Policies, and Rules for the approval of relevant Committee and implementation.
Provision of administrative support to all departments
Managing all meetings e.g.. EC, EOGM, AGM, Standing Committees & Press Conference etc.
Handling Electric, GAS, PTCL, Property Division, and other departments.
Correspondence & Coordination with government offices in connection with administrative matters.
Managing & Supervision of execution of approved tasks.
Managing & Supervision of payments of all vendors & utility bills timely.
Managing & Supervision of repair and maintenance of Civil, Electrical, Office Equipment, and Vehicles.
Managing & Supervision Motor Insurance.
Managing all other admin related assignments.
Managing and supervision of correspondence and appropriate actions. 
Coordination with media regarding Press Releases and Press Conferences.
Supervision of all admin staff.
HUMAN RESOURCE
Preparation of SOPs, Policies, and Rules, for approval of HR Committee and implementation.
Complete hiring function i.e. announcement of vacancies, shortlisting, screening, conducting tests and interviews, selection.
The complete Firing process, i.e. redundancy, preparation of final settlement in accordance with the prevailing labour laws.
Managing and supervision of Personnel Files of employees manually as well as electronically.
H.R relevant correspondence.
Managing and preparation payroll.
Managing attendance & leaves of employees.
Managing Medical insurance of employees and their families.
Registration of employees with (EOBI), making contributions, and post-retirement. documentation.
LEGAL
Managing and filing legal cases.
Follow up on all cases.
Coordination and liaison with lawyers for upcoming dates and outcomes.
Obtaining proposal/quotation/invoices of lawyer's professional fees.
Obtaining approvals for legal issues and professional fees.
Ensuring timely payment of Professional Fees.
Assistance to lawyers in providing complete working papers in the legal case.
Maintaining MIS of all legal cases and coordination with relevant staff at all APTMA offices.
INFORMATION TECHNOLOGY
Managing & supervision of the procurement of IT equipment.
Managing & supervision of the official website updates.
Managing & Supervision of the networks.
Maintaining and operating online meetings through various platforms.
Managing all Information Technology related issues.
Planning for future enhancement.
Support all APTMA offices in Information Technology.
Maintenance of proper records of data backup.
