Materials Procurement Assistant
• Analysis of BOQ’s/PR’s & to float enquiries to vendors obtain quotations /offers from 3-4 suppliers.
• Procurement of various components, materials and equipment related to various projects and products mainly mechanical, electrical and instrumentation.
• Cross analysis for the lowest offer which is technical and commercial viable.
• Place the local and international purchase orders.
• Deciding the mode of shipment based on weight and volume of consignment.
• Coordinate with design dept. to make sure product compliance with latest national, international and project standards and specifications.
• Coordination with freight forwarders to know the whereabouts of the consignment.
• Liaison with accounts department as per the purchase order terms (i.e payment upon order confirmation and receipt of proforma invoice, payment upon readiness of material and receipt of invoice, payment upon receipt of acceptable shipping documents, payment after receipt of materials etc).
• Closely monitoring the status of orders to ensure timely delivery of materials and in case of non compliance, inform the same to end user to take appropriate measures.
• Monitoring the stock level of various materials and placing the orders once the quantity reaches its optimum level.
• Closely coordinate with shipping dept. for clearance of materials in case of international orders.
• Closely coordinate with stores dept. for receipt of local materials.
• Issuance of materials in coordination with stores and production departments.
• Upon receipt of materials in stores, coordinate with QA department to ensure its conformance.
• In case of non-conformance, make material rejection reports, send it to supplier for analysis, simultaneously arrange to send the material back to supplier at his cost and obtain repla
