Provide comprehensive support to the Director, Finance, Operations, Compliance & overall leadership to the organization supply chain logistics functional units at Society for Human & Environmental Development (SHED) head Office, Peshawar. That includes; Procurement Management; drafting of RFQs, RFPs, and ITBs, including statements of work (SOW) TOR’s, terms and conditions for tendering processing, developing technical specification for procurement, developing of Vendor Data Base, Keep updates of AVL, Sharing of complete tender Dossier with concerns, develop and maintain a sourcing strategy per segment and per service. Initiate, schedule and conduct pre-bid conferences, specification conferences, and bid openings, monitor and conduct the bidding process, preparation of comparative statements (CBA) of different proposals received for various types of supplies, establish bidder’s lists and ensure the broadest and fairest competition possible in compliance with Public Procurement Regularity Authority (PPRA) as well as Donner Procurement Guidelines. Conducting regular market surveys for prices of routine supplies, Research and interpret contract provisions including communicating contract processes, penalties, and compliance terms to users. Manage renewals, extensions and formal changes to the contract including amending, changing, deleting terms and provisions. Preparing Procurement Committee Meetings & minutes negotiate / discuss and finalize Service Level agreements (SLA) Framework agreements (FWA) with vendors. Prepared agreements for hiring of vendors/ suppliers and consultants. Measure compliance against SLAs/ FWAs performance measurement. Follow up actions for Vendors/Supplier and consultants payments, Sharing of monthly procurement reports, 3rd Party Insurance during assets procurements, prepared and maintained accurate records and documentations on all solicitations, responses purchases, contracts, correspondence and related follow ups. Oversaw the engagement of properties on rental and on lease basis and ensure timely completion of contractual obligations and legal formalities. Ensured appropriate documentation of project for transparency and donor inspections/ audits.
Logistics Fleet Management; Managed and supervise projects logistics staff. Plan, coordinate, and execute logistics operations for project activities. Supervised transportation, fleets with relevant record keeping as well as other travel arrangements for the staff and relevant stake holders. Allocation of vehicles for daily picks and drop facilities of office staff. Oversaw and ensure proper use of the vehicles by overseeing fuel consumption purchase and tracking including coordination with gas station. Participate in the selection and hiring of drivers and oversee effective management of the team in order to ensure timely availability of resources to facilitate effective operations Undertake the basic trainings to the fleet staff on vehicles Services, Generator services, Solar System Proper installation etc. Ensure that logistics staff has clear and well defined duties and responsibilities; staff is oriented on donor regulations and SHED policies and procedures. Maintaining vehicle fleet, taking care of drivers, fuels, logbooks and repairs. Plans and administers preventive maintenance and Manage general maintenance of vehicles replacement program ,when vehicles are needed and can be taken out of rotation for repair. Performed maintenance of vehicles quickly as to minimize time out of rotation Making travel plans keeping in view the security and safety requirements.  Ensure that periodic reports of the logistics functional units are generated and disseminated to the concerned staff and management. Warehouse& Asset management; Supervised and managed Assets inventory and stock inventory list in head offices, stores/ Garage and program sites on regular basis; Maintain accurate records of Stock levels, including stock counts, Keeping the stock control systems up to date, Producing regular reports and statistics on a daily, weekly and monthly basis. Checking of all Issue Receipt Records of materials/goods in Computerized Data Programs (inventory system). Conduct & manage full stock, daily stock checks, Cycle Counts and Annual Stock Taking, (Reconciliation of stock in soft data with Physical Inventory). Keeping track of all inventories, Assigning tags and labels for all Assets/Materials, Responsible for developing of SOPs for Supply Chain logistic Units. That includes capacity building of staff at field as well as at HO level, performance evaluation and staff management in general. coordinate with the program staff for effective and efficient service delivery of the logistics units .In coordination with the Director Operations develop and maintain a mechanism of control and accountability system which ensure that processes and procedures which are followed are in compliance with the donor and SHED policies and procedures.
Security  management; Security coordination within the programme and with outside agencies, Daily management of security protocols and procedures , Conducted regularly security briefings and recommend security trainings , Composition and submission of security reports, warnings or assessments , Gathering and disseminating any other relevant security information,
Advising the CEO, Program- and all Manager on all security related issues, Worked closely with other organization Security focal persons regarding Emergency Cases that might occur inside the office and outside the office e.g., Field locations and advises on road conditions for country-side travel to ensure the safety of staff.
