UpTrade is Hiring: Finance Manager Position

The ideal candidate will be responsible for maintaining inventory records, managing accounts receivable and payable, conducting cost analysis for projects and customers, and coordinating with external auditors and stakeholders. Job Summary:
The Finance Manager is responsible for overseeing the financial operations of the company, ensuring accurate financial reporting, efficient management of accounts payable and receivable, and compliance with financial regulations. The Finance Manager will also be responsible for cost analysis, maintaining financial records, and liaising with external auditors, banks, and other stakeholders.
Key Responsibilities:
1. Inventory Management:
- Maintain and update both external and internal inventory sheets.
- Track inventory levels and ensure proper documentation.
2. Accounts Receivable:
- Monitor and manage receivables to ensure timely collection.
- Maintain accurate records of customer accounts and follow up on overdue payments.
3. Customer Ledger Management:
- Maintain detailed B2B and B2C customer ledgers.
- Manage B2B inventory stock and coordinate with sales teams.
4. Supplier Ledger Management and Cash Flow:
- Maintain supplier ledgers and payment schedules.
- Manage cash flow effectively to meet operational needs.
5. Invoices and Receipts:
- Generate accurate invoices and receipts for clients and customers.
- Ensure timely dispatch of invoices and receipts.
6. Revenue Record Keeping:
- Maintain comprehensive records of revenue from all business segments.
- Prepare regular financial reports for management review.
7. Reconciliation:
- Conduct monthly reconciliations for both B2B and B2C transactions.
- Resolve discrepancies and ensure accuracy in financial records.
8. Cost Analysis:
- Perform cost analysis for new projects or customers to support decision-making.
- Provide insights on cost-saving opportunities.
9. Communication:
- Possess strong communication skills to liaise with internal teams, banks, auditors, and other stakeholders effectively.
10. Loan Management:
- Maintain a loan borrowed register, keeping track of loan details, repayments, and interest rates with local and international donors or organizations.
11. Documentation:
- Ensure all financial documentation is accurate, organized, and up-to-date.
- Safeguard financial records and confidential information.
12. Meetings and Coordination:
- Attend meetings with banks, auditors, and other financial institutions as required.
- Coordinate with external auditors and bookkeepers to facilitate audits.
13. Audit Management:
- Manage and coordinate with external auditors during audit processes.
- Provide necessary documentation and information for audits.
Other Duties:
- Undertake any other financial tasks or projects as delegated by the CEO.
Qualifications and Skills:
- ACCA Finalist preferred or Bachelor’s degree in Finance & Accounting
- Proven working experience (4-5 years) in financial management, accounting, and cost analysis.
- Strong MS Excel competency – financial modelling skills
- Excellent communication and interpersonal abilities.
- Proficiency in financial software and Microsoft Office Suite, predominantly Microsoft Excel.
- Attention to detail and high level of accuracy.
- Ability to work independently and manage multiple tasks efficiently.

Weekly Deliverables:
1. Financial Reports:
- Generate and distribute weekly financial reports to the management team, highlighting key financial metrics and insights.
- Provide analysis on revenue, expenses, and cash flow trends.
2. Accounts Receivable Management:
- Conduct weekly follow-ups on outstanding invoices to ensure timely collections.
- Prepare a summary of accounts receivable aging and propose actions to resolve overdue payments.
3. Cash Flow Monitoring:
- Monitor cash flow on a weekly basis and prepare forecasts to anticipate any potential shortages.
- Coordinate with departments to ensure budgets are adhered to and expenses are within limits.
4. Stakeholder Communication:
- Act as a primary point of contact for internal stakeholders regarding financial inquiries.
- Communicate financial updates, policies, and procedures to various departments as needed.
5. Vendor Communication:
- Liaise with suppliers regarding payment schedules and resolve any invoicing discrepancies promptly.
- Negotiate favorable terms with vendors to optimize cash flow.
6. Documentation Review:
- Review and organize financial documentation weekly to ensure accuracy and compliance with regulations.
- Prepare necessary documents for upcoming meetings, audits, or financial reviews.
