To fill the post of HR coordinator, CESVI (Pakistan) is seeking a motivated professional female candidate. Reporting to the Head of Mission, she will be in charge of the following duties:
Role and Responsibilities:
Under the guidance and supervision of the Head of Mission, the HR Coordinator will be responsible for the following deliverables;
- Oversee the recruiting process by completing the job description in coordination with the hiring manager, advertising the position, reviewing applicants, scheduling interviews, and making sure that all necessary paperwork is in order.
- Timely preparing offer letters, contracts, and agreements for recently employed employees and arrange their induction and other necessary HR requirmnets. Providing extension addendums to employees as needed; also, ensuring experience letters are accessible with the final settlement;
- Leading mission HR function and team in capital and field offices (Sindh, Punjab and KPK), strengthening HR operations and processes.
- Supports long term planning of the mission from a strategic perspective with regard to HR planning. Develop and implement collective rules across the mission within regard to people management.
- Promote HR values within the organization and make sure to Prevent fraud and corruption related to HR practices.
- Ensure close collaboration with legal counsel on the closure of regulatory matters and legal interpretation.
- Ensuring adherence to all HR related laws in country and Ensuring compliance with all donors compliance with relation to HR management;
- Leading disciplinary proceedings while ensuring mission guidelines and local laws and Managing confidential matters as per policy.
- Development and effective implementation of HR Strategy and budgeting as per mission’s HR allocation.
- Manages health and life insurance policies for the national working in the Pakistan mission
- Oversees HR filing and contracting of all staff and departmental records.
- Liaison with external entities and institutes for networking related to HR to strengthen understanding and implementation of policies in the country related to HR
- Finalize attendance sheet and Time and Activity sheet record on the 23rd of each month mentioning the leaves and update leave sheet and leave records accordingly.
- Prepare and place a new attendance sheet for the coming month.
- Providing before-time information to respective line managers regarding probation completion on a monthly basis and preparing and issuing confirmation letters to staff who complete probations.
- Regular Field Visit to monitor operations and other issues at the Field level.
- Oversee annual performance appraisal cycle, manage monthly all staff meetings, and coordination in arranging team engagement events.
- Providing before time Information to respective line managers regarding Increments due every month and preparing and issuing increment letters to staff once information is received from the HR coordinator after having recommendations of respective line managers.
- Support necessary personnel in the country office with training in accordance with budget monitoring.Monitor employee post-training reports and work with training providers to arrange nominations.
- To work closely with the Line Manager in developing yearly work objectives for the staff.
- To work closely with Programme Manager and Country Head on effective performance development plans and career advice; ensuring performance management is embedded in the program; ensuring that timely feedback is provided to staff on performance both during the probationary period and upon completing project/contract duration or annually.
- To prepare monthly staff salaries of country and Field office staff in coordination with the National Finance Manager.
- To collect and manage documentation of staff perdiums, accommodation reimbursements, etc. as per Cesvi policy/internal guidelines and facilitate perdiem payments to relevant staff through the finance department and finally hand over complete documents to the Finance department.
Qualifications:
a. Education
A Master’s degree in Human Resource Management, or any other relevant field of study.
b. Experience:
Minimum of 05 years of relevant professional experience in a similar place in the humanitarian sector, preferably in NGOs/INGOs/UN Agencies.
c. Competencies:
Good organizational skills and ability to multi-task, work under pressure, meeting deadlines in a fast-paced fluid environment.
Excellent interpersonal communication skills to build the link with staff, partners, government officials, donors, and other relevant stakeholders.
Creative and flexible with problem-solving skills.
Strategic planning and leadership skills.
Ability to confidently represent oneself to high-level officials.
People management particularly coaching and influence management
d. Technical Skills:
Confident and proficient in the use of MS Office, and data management software, proficiency in English language (written and spoken) is mandatory,
