We are looking for a proactive and detail-oriented Accounting and Operations Analyst to join our team. This role is responsible for supporting accounting, inventory management, and operations functions while acting as a bridge between customers and internal teams to ensure seamless service and satisfaction. The ideal candidate will have QuickBooks experience, strong English speaking skills, and the ability to troubleshoot customer and logistical issues effectively.

Key Responsibilities:

Accounting & Purchasing Support:

  • Work with the accounting staff to process invoices accurately in QuickBooks.
  • Manage accounts receivable and oversee collections to ensure timely payments.
  • Oversee inventory management and maintain software forecasting tools that trigger purchase orders to vendors.
  • Provide timely updates for all pending financial items needed by the accounting team.
  • Assist the Purchasing Manager in creating and managing purchase orders to vendors.

Operations Support:

  • Act as the bridge between customers and internal teams, driving customer satisfaction, retention, and operational efficiency.
  • Oversee product returns and claims, ensuring they are filed correctly with freight carriers for damaged shipments.
  • Oversee customer orders that have been damaged in transit, file claims with freight carriers, and process returns efficiently.
  • Collaborate with the operations team to schedule shipments with freight carriers and ensure accurate data is recorded in the CRM.
  • Troubleshoot customer issues related to wrong or damaged products, file claims accordingly, and process refunds.
  • Escalate complex issues to the appropriate internal teams and follow up to ensure a timely resolution.
  • Maintain a deep understanding of our platform, products, and services to provide expert guidance to customers.

Required Qualifications:

  • Proficient English-speaking skills for effective communication with internal teams and customers. 
  • QuickBooks experience is required for invoice processing and financial tracking. 
  • A proactive attitude with the ability to anticipate and solve problems efficiently.

Preferred Qualifications:

  • Experience with HubSpot CRM for managing customer interactions. 
  • Prior experience in accounting, inventory management, or operations. 
  • Background in customer service or logistics coordination.
