We are seeking an organized and detail-oriented Admin Officer to support daily operations across 15 convenience store (C-store) locations. This role involves a variety of administrative tasks, including handling daily sales reports, lease management, insurance tracking, and collaborating with accountants. The role also includes ensuring permits and licenses are up to date, providing high-level summaries for management, and supporting digital marketing efforts for the stores.

Key Responsibilities:

Daily Sales Report & Reconciliation:

  • Compile and analyze daily sales reports from all 15 C-store locations.
  • Perform sales reconciliation, ensuring accuracy and resolving discrepancies.

Lease & Rental Management:

  • Oversee and manage lease agreements for all store locations.
  • Track rental payments and ensure timely collection from landlords.
  • Ensure compliance with lease terms and conditions.

Permits & Renewals:

  • Maintain records of all necessary permits for each store.
  • Track permit renewal dates and ensure timely renewals to avoid any disruptions in operations.

Insurance Management:

  • Ensure that all stores have up-to-date insurance coverage.
  • Track insurance policy renewals and collaborate with vendors to ensure compliance with insurance requirements.

Collaboration with Accountant:

  • Work closely with the accountant to ensure accurate financial reporting and records for all locations.
  • Assist with preparing and reconciling monthly financial statements and reports.

Monthly Reconciliation Report:

  • Prepare detailed monthly reconciliation reports for all stores.
  • Provide a high-level summary to management, highlighting any discrepancies, trends, or areas requiring attention.

General Administrative Support:

  • Provide overall administrative support to ensure smooth operations across all stores.
  • Assist in various ad-hoc projects as needed.

Education/Experience:

  • Degree/Certification in Finance, Accounting, Administration or a related field.
  • 2+ years of experience in finance, accounting, Admin or a related role.
  • Strong proficiency in Microsoft Excel and Word.
  • Ability to work independently and manage multiple tasks effectively.
  • Strong communication and presentation skills.

Shift Timing/Location:

7PM-4AM (Monday to Friday) – Johar Town, Lahore.
