We are seeking a proactive and highly organized Executive Assistant / Administrative Professional to join our dynamic team in the healthcare device industry. This role is pivotal in providing high-level support to the executive leadership team and ensuring smooth day-to-day operations. The ideal candidate is a detail-oriented professional with excellent communication skills, a strong ability to multitask, and a deep understanding of administrative and executive functions.

Key Responsibilities:

  1. Executive Support:

    • Serve as the primary point of contact for internal and external communications on behalf of the executive(s).
    • Manage and maintain executives' schedules, appointments, and travel arrangements.
    • Prepare executive-level documents, reports, presentations, and correspondence.
    • Handle sensitive and confidential information with utmost discretion.
  2. Administrative Management:

    • Oversee office operations, including inventory management, vendor coordination, and facility organization.
    • Maintain accurate records and files for the department or organization.
    • Monitor and ensure compliance with company policies and procedures.
  3. Meeting Coordination:

    • Organize and coordinate meetings, including agenda preparation, minute-taking, and follow-ups.
    • Support event planning for internal and external meetings, conferences, and workshops.
  4. Team Collaboration:

    • Act as a liaison between executives and other team members or departments.
    • Provide administrative support to various departments as needed.
  5. Healthcare Industry-Specific Tasks:

    • Assist in managing regulatory documents and compliance requirements related to healthcare devices.
    • Coordinate with healthcare professionals, suppliers, and clients.
    • Stay updated on industry trends, policies, and best practices to provide informed support.
