We are seeking a proactive and detail-oriented Export Documentation Officer to join our team. This role involves efficient shipment planning, timely communication with carriers and shippers, and meticulous handling of shipping documentation. The ideal candidate will possess strong organizational skills, excellent communication abilities, and proficiency in relevant shipping software.
Responsibilities:
- Communicate with shippers/exporters to obtain all necessary information to comply with carrier requirements.
- Submit shipping instructions and Manifest to carriers or co-loaders through online portals or via email.
- Request MBL drafts from shipping carriers and co-loaders.
- Work closely with the customer service team to receive shipment plans in advance and ensure carrier deadlines are met.
- Send pre-alerts and manifests to overseas agents within designated time frames.
- Verify the accuracy of HBL/MBL information in accordance with shipper specifications.
- Track VGM filings through the carrier’s online portal.
- Coordinate with courier services (TCS for domestic, DHL for international) for invoice retrieval and ensure timely payments.
- Monitor document dispatch for both local customers and overseas agents, providing timely email notifications.
- Collaborate with team members regarding invoicing, applicable charges, and the creation or updating of HBLs as per shipper requests.
- Follow up on outstanding payments as instructed by management.
- Ensure the timely processing of vessel-to-vessel files.
- Demonstrate strong verbal and written communication skills.
Qualifications:
- 2 to 3 years experienced required in freight forwarding and shipping.
- Strong organizational skills and the ability to manage time effectively.
- Ability to work under pressure and meet strict deadlines.
- Bachelor’s degree required
Pay: Rs 25,000 - 30,000 per month
