The following are the main responsibilities that the role holder will be accountable for:
Technical:
- Receive, scrutinize & review the invoices raised by suppliers and record them in AX.
- Make petty & bank payments with proper review & authorization.
- Securing petty cash and its reconciliation on weekly basis and replenishment.
- Review all payments as per IRP Financial guidelines and SOPS.
- Ensure the accurate preparation of cheques, deduction of applicable taxes.
- Calculation of tax and ensure the submission of Taxes in the govt. treasury as per law.
- To ensure delivery of cheques to the suppliers/Concerned person.
- Maintain proper log of all used & unused cheque books & Receipt books
- Keep all the official receipt books of IR in safe custody.
- Recording of all transactions of expenses & taxes in AX.
- Tracking of all advances to ensure return within prescribed time.
- Issuance of details of transactions and explaining their nature to the relevant staff.
- To Maintain contact with bankers and auditors
- Liaising with auditors and company executives and answering queries on financial matters.
- Maintain up to date Filing system of Finance record with proper files, indexing and security.
- To liaise with the IR’s bank as directed by the Finance Officer including reconciliation of bank statements.
Operational:
- Coordinate with internal (Finance Manager, Project Lead, Department heads, sector leads at FO) & external (Auditors, Donor’s where require, other NGOs finance teams) stakeholders related to grants management reporting, budgeting and other matters of mutual interest.
- Ensure preparation & record management of financial record/information so that may be accessed by relevant individuals as & when needed.
- Preparation of daily, weekly, monthly and other progress reports for management’s info.
- Ensure proper filling of forms & formats as per desired standard
- Close coordination with line manager for effective implementation of policies / guidelines.
Organizational:
- Ensure compliance with IR’s policies & procedures in true spirit for effective delivery of services.
- Understanding of IR values and their demonstration in real time.
- Abide by the IR zero tolerance policy towards bribery & corruption as well as sensitize others on coping mechanism so that they can raise voice as & when feel inappropriate.
- Thorough knowledge of IR strategic priorities & the way you can contribute in its achievement.
- Assist in identification & documentation of organizational successes for show casing IR work
- Facilitate the organizational stance on clime change through adaptation of environment friendly & cost effective approaches in your domain.
- Respect & promote the organizational stance on work force diversity & support the efforts being made for mainstreaming of marginalized groups i.e. Persons with disability and old age, minorities, Women & children etc. in carrying out organization activities.
- Ensure periodic field visits to witness the challenges and implementation of activities at ground level.
- Participation and facilitation in implementation of IR seasonal programmes.
