Reports to: Supply Chain Coordinator

 

Scope of the Role

To provide support related to SC activities, general office administration, day to day procurement, warehousing, Vehicle management, record keeping, public relations, for the organization.Office support, handling of supplies, works and services.

Key Accountabilities:

  • Recording receipts for cash expenditure.
  • Securing petty cash and its reconciliation prior to month end and replenishment
  • Managing supplier/vendors payments.
  • Review the filled up payment requisition form as a whole.
  • To ensure delivery of cheques to the suppliers.
  • Issuance of details of transactions and explaining their nature to the relevant staff.
  • Having up to mark knowledge about the procurement process
  • Timely reporting and handling of maintenance and repair of all office equipment’s, building and furniture, fixtures, vehicles.
  • Supervision of support staff
  • Managing procurement for day to day office operations.
  • Ensuring SC compliance of procedures.
  • Arrangement of events (internal and external)
  • Ensuring fixed and control assets stock and record keeping registers.
  • Ensuring proper travel arrangements for all staff and guests between different offices
  • Process the vehicles, fuel, cross charge and personal charge payment timely submit to Finance.
  • Process the vehicles maintenance payment timely.
  • To ensure that appropriate contract agreements for the office and accommodation are drawn up & signed.
  • Maintaining proper record of documents issued or received till the final receipt of goods and final payments to suppliers.
  • Receive and verify all the goods from supplier and verify bills for which the payments are due.
  • Dealing various matters regarding insurance of vehicles, building and Assets.
  • Supervision of arrangements of seminars, conferences and interviews.
  • Supply and deliver equipment and materials to required destinations in an efficient and cost effective manner
  • To provide relevant reports.
  • Establishing domestic arrangements for operational teams, including renovating accommodation, and making arrangements for other domestic needs, travel arrangements etc.

Person Specification:

Qualification: 

Bachelor/Master preferably Management Sciences/Social Sciences

Experience: 

Minimum experience of 3 years with Masters and 5 years with Bachelor degree in relevant field

To cater to the higher living cost, Organization is transferring the exchange gain (PKR-GBP) on salary to staff at a prevailing conversion rate till further notice. Salaries are paid in local currency.
