The individual will be responsible for providing secretarial and administrative support while focusing on the effectiveness and efficiency of the tasks and maintaining confidentiality in performing the duties. Furthermore, he/she will be responsible to serve as a central point of contact and oversee administrative processes.

The following are the key responsibilities:

Responsibilities

  • Provide administrative support including; calendar management, email correspondence, and document preparation.
  • Schedule and coordinate meetings, and appointments while ensuring timely communication and distribution of relevant materials. This includes but is not limited to recording and sharing minutes of the meeting from time to time.
  • Act as a primary point of contact between the Head of Department (HOD) and internal/external stakeholders, handling inquiries, screening calls, and relaying messages as necessary.
  • Support HOD in managing departmental projects and initiatives by tracking progress, gathering data, and preparing reports.
  • Maintain and organize departmental files, records, and documentation (if any), ensuring easy access and confidentiality of sensitive information.
  • Assist in organizing departmental events, sessions, and workshops, including logistical planning and on-site support.
  • Ensure departmental compliance with Bank policies, procedures, and regulations, and assist in the implementation of departmental policies/practices, if required.
  • Assist in planning and coordinating travel logistics for HOD including booking flights, accommodations, and creating detailed itineraries.
  • Any other tasks assigned by the department head.

Qualifications

  • Minimum graduate/bachelor’s degree.
  • 2-3 years of relevant experience in a secretarial role.
  • Good communication and presentation skills with a can-do attitude.
  • Excellent organizational and project /time management skills.
  • Ability to manage work with strict deadlines and handle stressful situations.
  • Proficiency with Microsoft Office Suite.
