We are looking for a friendly and professional Customer Representative Officer who will also manage front desk responsibilities. This role requires excellent communication skills, a customer-focused attitude, and the ability to handle various tasks efficiently. As the first point of contact for visitors and customers, the ideal candidate will represent the company with a positive and welcoming demeanor.

Key Responsibilities:

Front Desk Management:

  • Greet and welcome visitors with professionalism and courtesy.
  • Answer, screen, and direct phone calls and inquiries.
  • Manage appointment scheduling and maintain a clean, organized reception area.
  • Provide general administrative support, including filing, document handling, and office supplies management.

Customer Service:

  • Handle customer inquiries and concerns via phone, email, or in-person.
  • Assist customers with product or service information and resolve complaints effectively.
  • Direct customers to the appropriate department or personnel based on their needs.
  • Keep records of customer interactions and ensure timely follow-up on unresolved issues.

Coordination and Communication:

  • Liaise with various departments to address customer requests or direct visitors.
  • Provide relevant information about the company and its services to visitors and callers.
  • Manage incoming and outgoing mail, packages, and deliveries.

Data Entry and Reporting:

  • Maintain customer data and update internal systems with relevant information.
  • Prepare daily reports of front desk activities and customer inquiries.

Sales and Marketing Support:

  • Assist with occasional marketing activities, such as distributing promotional materials and handling customer queries during campaigns.
  • Help in maintaining customer satisfaction surveys or feedback forms.

Key Qualifications:

  • High school diploma or equivalent; additional qualifications in customer service or office management are a plus.
  • Proven experience as a Receptionist or Customer Service Representative.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office (Word, Excel, Outlook).
  • Ability to multitask, manage time effectively, and stay organized.
  • Strong interpersonal skills with a friendly and approachable personality.
