Job Summary:

The Administration and Operations Assistant will provide comprehensive administrative support to ensure efficient operation of the office. This role includes a variety of administrative and clerical tasks, assisting in daily office needs, and managing our company’s general administrative activities. The ideal candidate is organized, resourceful, and able to handle multiple tasks with a high degree of accuracy and confidentiality.

Key Responsibilities:

Administrative Support:

  • Manage and organize office operations and procedures.
  • Answer and direct phone calls, emails, and other correspondence.
  • Schedule meetings, appointments, and travel arrangements for senior staff.
  • Maintain office supplies inventory and place orders as needed.
  • Prepare reports, memos, letters, and other documents using word processing, spreadsheet, database, or presentation software.

Operations Assistance:

  • Assist in the coordination and implementation of office services such as record-keeping, mail distribution, and other office support services.
  • Support the operations team in daily administrative tasks.
  • Help to improve operational management systems, processes, and best practices.
  • Maintain a clean and orderly office environment.

Human Resources Support:

  • Assist with the onboarding process for new employees.
  • Maintain employee records (attendance, personal details, etc.).
  • Support HR-related activities such as recruitment, training, and performance evaluations.

Qualifications:

  • Proven experience as an administrative assistant, virtual assistant, or office admin assistant.
  • Knowledge of office management systems and procedures.
  • Proficiency in MS Office (MS Excel and MS Word, in particular).
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills in a fast-paced environment.
  • A creative mind with an ability to suggest improvements.
