The Programme Officer main purpose is to supports programme team to develop/implement emergency and development programme implementation mechanism based on the organization Policy, and integration of resilience programming. She/he works closely with the MAP programme and MEAL team and different forums at the country-level. The post holder shall be responsible for overseeing and planning internal & external meetings within MAP departments; preparation of meeting minutes; proper follow-up & action plan monitoring; and develop timely customized communication for external &internal stakeholders about the ongoing Muslim Aid projects, updates, and activities.
Key Responsibilities:
Representation
• Develop and maintain effective working relationships with all stakeholders in Pakistan
• Ensure all relevant parties are kept informed of MA activities as appropriate
• Provide day-to-day monitoring of grants, and contracts according to work plans agreed by the PM
• Support the PM to ensure that the country programme strategy objectives are achieved regarding grant management and preparation of donor reporting.
• Provide timely and accurate information, analysis and reports on current grant and proposal status as required by PM
• Act as the focal point with MA, in collecting data, providing relevant report, and supporting local partners to ensure that contractual obligations can be fulfilled
• Assist the PM in the monitoring of contracts and MoU’s, and in monitoring the progress of projects.
Donor and Partner Management
• Coordinate the collection of information, and draft funding proposals for submission to HQ for approval, as directed by the PM.
• Provide support to the PM and Business Development Manager in identifying and collecting information on possible future donors and funding opportunities.
• Support the PM in creating and maintaining relationships with donors, partners and other parties as required.
• Ensure regular reporting to MEAL department on Muslim Aid regular programmes (Seasonal Qurbani and Ramadan distribution) in Pakistan.
Information Management
• Work in close collaboration with the Programme Manager and the Programme Coordinator to develop and maintain systems for recording programme activities and output and provide relevant materials, case studies, photographs, events, and media contacts in line with policy.
• Maintain all project record on Share point so everyone can have access at national and HQ level
Business Planning
• Provide input into regular in-country management meetings
• Assist PM in the development of concept notes and proposals
• Support the PM in the planning and implementation of research, activities, and events within the programme area
Operation Management
• Provide support to field offices in timely execution of funds
• Provide support to field offices in timely procurement and supply of material
• Provide support to field offices in timely hiring of staff on vacant positions
• Provide support to field offices in vendor payments
Any Other Task
Any other task assigns by the line Manager.
