ROLES & RESPONSIBILITIES 

To supervise the overall implementation of Prison services in compliance to service delivery guidelines and designed procedures for technical, operational, & administrative components.

Capacity Building

  • Provide customized inputs to prison staff  and respective Site Managers (interior Sindh) for maximum utilization of prison and field staff (Monthly work plan).
  • Evaluate performance of various sites, and coordinate with the Supervisor to ensure regular capacity building of staff as per need.
  • Assist in development, Implementation, monitoring and evaluation of  Standard operating procedures (SOPs), protocols and systems for Prison services (registration, HTC, linkage to ART, and data entry)
  • Act as a resource person in training of prison and field staff to provide input on the dynamics of different settings with reference to motivational- & prevention  counseling, testing, & linkage to treatment services.

Routine oversight

  • Review of daily service delivery trends of prison services through MIS reports and provide inputs and feedback to field team through emails and phone calls.
  • Review the achieved targets in accordance with work plans and take actions for provision of prison services within the required time span.
  • Regularly review & update the performance with reference to Program protocols & guidelines and ensure application of these protocols in the desired manner.
  • Review team’s work plans of all Prison Project sites and conduct a comparative analysis in terms of increased access to services.
  • Regular check on issues and challenges faced by Prison team and propose strategies to mitigate the problems.

Field Visits

  • Ensure quality of services provided by NZ prison staff members through field visits for Prisons.
  • Client files consistency between hard & soft record (information form, registeration forms, service delivery sheets,baseline investigation, ART registration records, advanced treatments including TB , HCV and other co-infections)

Administrative Activities

  • Responsible for the management of all project related procurement and supplies management of consumables in close coordination with PSM department.
  • Ensure that stock related data is computerized regularly, in addition to the maintenance of physical stock registers.
  • Keep a regular check on the stocks of materials issued to Prison staff for effective controls
  • Maintain petty cash and ensure that all the items are purchased on compatible market prices
  • Maintain daily expense sheet for the prison sites
  • Maintain log books and vehicle maintenance and repair records
  • Ensure that project vehicles are being used only for the project purposes
  • Provide secretarial support correspondence through emails, reporting and accounting matters
  • Ensure maintenance of staff related documentation including attendance register, leave record etc.
  • Properly record minutes of meetings held at the project site under the supervision of line manager
  • Ensure proper filing of all monitoring data and information under the supervision of line manager

Correspondence & Coordination

  • Close coordination with the PR staff to verify the data quality, data management, tracking tools, and data synthesis in line with performance indicators.
  • Closely work with MIS department for development of essentials reports for Prison services.
  • Implementation of feedback and recommendations provided by PR Program team as and when required.
  • Assist in development of Prison wise targets of services for each reporting period. (Bi-annual)
  • Participate in planning meetings and provide input on service planning for Prison services.

Line Reporting

  • The position holder will report to Project Officer-HTC
  • Any other tasks /support assigned by line Manager/Supervisor.
  • Provide regular updates relating to Plus component service delivery to the Supervisor for necessary feedback and guidance.
  • Perform any other tasks identified by the Supervisor that may be necessary to ensure that the program is implemented effectively
