Position Summary

  • We seeks a Programme Development Assistant (Africa and Asia) to support its programme development efforts across two regions – Africa and Asia. This position will be responsible for providing a wide range of administrative and proposal development support to the Regional Programmes Team including capture planning, programme development administration, programme development compliance, and proposal development.
  • The position will report to the Regional Programme Development Manager (Africa and Asia), and work closely with the Regional Programmes Unit, Regional Finance Unit, Awards Management unit, and the Africa and Asia country offices.

Key Responsibilities and Duties

  • Search for new opportunities through various portals (US Government portals, European Union portals, United Nations Partners’ Portal (UNPP), and other institutional and non-institutional donor portals)
  • Take full lead on the Go/no go process including organising meetings with relevant Go/No go attendees, record meeting notes and actions, circulating relevant documentations and fill out and circulate Go/No go forms
  • Execute pipeline management actions through internal software, including SmartSheet and NetSuite (trainings will be provided)
  • Execute actions related to internal compliance at proposal development stage, including but not limited to circulating documentation for signature (SF Forms, cost share memos, Teaming agreement and non disclosure agreements, and other partnership related documents)
  • Maintain our folder structure for developing and archiving proposals
  • Copy/edit proposals for grammar and formatting as per donor’s guidelines as well as provide inputs in proposals in non-technical sections, as required.
  • Execute submissions of proposals through donor platforms, as and when required
  • Conduct research to support creation of documents to be prepared for donors, such as capacity statements, one/two pagers, boilerplate concept notes, etc.
  • Assist in managing knowledge repositories and central programme development folders, ensuring easy access to critical information for staff and stakeholders.
  • Support ad hoc tasks assigned by the supervisor or the Regional Programme Director, as required.

Other related tasks that may arise from time to time.

  • Uphold and promote our commitment to ensuring the safeguarding and safety of the vulnerable communities we serve.
  • Consistent with our safeguarding and protection policies, contribute to ensuring that all those who come into contact with our staff and the communities we serve can be trusted to work safely with them
  • Support and develop systems that create and maintain an environment that prevents sexual exploitation and abuse and promotes the implementation of the Code of Conduct and safeguarding policies.Work collaboratively with the Global Safeguarding Manager to advocate for the inclusion of safeguarding activities and resources within program
  • Ability to demonstrate knowledge of donor requirements of safeguarding standards and protection from exploitation and abuse

Role requirements

Experience and skills required for the role.

  • Bachelor’s degree – International development or related field preferred but not required
  • At least one year experience of working with an NGO
  • Familiarity and demonstrated experience working with institutional donors would be an asset
  • Comfort with multi-tasking, and willingness to work a flexible schedule to accommodate competing deadlines
  • Excellent coordination and communication skills: oral, written and editing
  • Excellent organizational skills with the ability to prioritize multiple responsibilities and meet deadlines
  • Strong computer skills and experience with Microsoft Office applications, especially Word, Excel, Outlook, SharePoint and OneDrive
  • Demonstrated ability to follow instructions and carefully review work for accuracy
  • Ability to travel up to 10%, as needed
