General Duties:

The duties of the Project Coordinator include planning, organizing, evaluating, coordinating, and managing project activities in relation to the development project in District Peshawar. The Program Coordinator will ensure effectiveness of the project across all activity areas. Additionally, the Project Coordinator offers guidance to faculty, staff, and students regarding policies, procedures, and services. The Project Coordinator will supervise, train, evaluate, and prioritize tasks for assigned personnel, and maintain comprehensive records and files related to the program.

Specific Duties and Responsibilities:

1.1: Program Planning and Development

  • Oversee and formulate the comprehensive project documentation and reporting framework.
  • Proactively engage in designing, conducting assessments, analyzing gathered data, and documenting insights and lessons learned to inform future programming decisions. Develop strategies for utilizing data effectively in decision-making processes.
  • Support the Project Manager in the development of weekly and monthly work plans.
  • Conduct in-depth analysis to identify urgent needs, working closely with the instructors and their team within Urban Cohesion Hub and subsequently design appropriate project interventions. Additionally, the Project Coordinator will contribute to strengthening capacities of staff to address challenges through collaborative problem-solving efforts.

1.2. Program Quality Delivery and Implementation:

  • The Project Coordinator will improve the quality of program delivery by providing technical guidance where needed in diverse contexts to staff, students and other stakeholders. 
  • Develop Detailed Implementation Plans (DIPs) to ensure the effective and high-quality implementation of the project interventions.
  • Ensure the project's effectiveness in achieving results and meeting predefined targets for beneficiaries as per the planned objectives.
  • Manage the implementation of project activities to attain project goals and objectives, conducting monitoring and reviews in compliance with organizational and donor requirements.
  • Ensure presence at the Urban Cohesion Hub, and conduct regular visits to monitor and provide support for project activities.
  •  Supervise all administrative and financial tasks related to the assignment, such as maintaining a logbook, monitoring expenses, record-keeping etc. 
  • Assist in the administration of workshops, trainings, and meetings hosted as part of the project, supporting their smooth execution and effectiveness.

1.3. Project Monitoring, Reporting and Documentation:

  • Record project outcomes systematically in routine reports.
  •  Ensure that all reports receive endorsement from the project manager and are promptly submitted to the respective office of donor agency. 
  • Document comprehensive qualitative and quantitative changes resulting from the organization's interventions.
  • Monitor the humanitarian landscape in field areas, compiling assessment reports, and offering recommendations to the project managers and team regarding community needs, vulnerabilities, capacities, and suitable responses within the agreed-upon program strategy by a national organization and donors. 
  • Identify, document, and share relevant project insights and lessons learned throughout the program.

1.4. Staff Capacity Building:

  • Foster strong working relationships with project staff to facilitate seamless project execution.
  • Coordinate and provide guidance to the project team in establishing clear and concise input/output performance targets aligned with the project objectives and Means of Verification (MoVs).
  • Ensure coordination with project teams to guarantee the availability of all necessary documentation and MoVs during internal and external visits.
  • Enhance the project team's capacity in producing high-quality reports aligned with targets.
  • Promote and sustain knowledge and information sharing within the program.

1.5. Project Coordination/Representation:

  • Cultivate excellent relationships with donors, partner organization and beneficiaries.
  • Ensure effective coordination and integration of Community-Based Protection activities at the field level.
  • Undertake any additional tasks assigned by the supervisor (Project Manager) as necessary.

1.6. Role Requirements:

  • The candidate should have at least Master's degree in Social Sciences 
  • Demonstrated strong diplomatic skills, adept at establishing productive working relationships with partners, donors, and other stakeholders in sensitive environments.
  • Proficient people management skills, with the ability to lead and supervise teams effectively.
  • Advanced proficiency in computer skills, including MS Word, Excel, database systems, and PowerPoint.
  • Fluency in English and Urdu is required, with proficiency in Pashto and Dari being an added advantage.
  • Proven track record of management-level experience in humanitarian assistance or development within an international context, preferably with non-governmental organizations.
  • Professional experience in managing projects related to protection, Gender-Based Violence (GBV), livelihoods, or child protection in refugee environments.
