The Time Officer will be responsible for maintaining accurate and up-to-date records of employee attendance, timekeeping, and related data. The role also involves providing administrative support for the office, including managing paperwork, answering phones, and assisting with other tasks as needed.
Key ResponsibilitiesTimekeeping and Attendance
Accurately record employee attendance and time worked using the company's timekeeping system
Monitor and track employee time off requests (vacation, sick leave, etc.)
Ensure compliance with company policies regarding attendance and timekeeping
Prepare and distribute payroll reports as needed
Administrative Support
Maintain organized files and records related to employee information
Answer phones and direct calls
Assist with general office tasks, such as photocopying, filing, and scanning documents
Prepare reports and presentations as needed
Communication and Collaboration
Serve as a point of contact for employees regarding timekeeping and attendance issues
Communicate effectively with supervisors and other team members
Maintain confidentiality of employee information
Vehicle In & Out Record
Maintain accurate logs of all vehicles entering and exiting the factory premises
Verify driver identity and the purpose of the visit before allowing access
Coordinate with security staff to ensure smooth vehicle movement and avoid congestion
Record the time of entry/exit, vehicle details, and associated personnel
Generate daily or weekly reports of vehicle movement when required
Vehicle Weight Machine Operation Record
Operate the vehicle weight machine to accurately record weights of incoming and outgoing vehicles
Maintain proper documentation of tare and gross weights
Ensure weight records match with vehicle documentation
Report any discrepancies or technical issues immediately
Keep logs organized and ensure the weighbridge area is clean and safe
Other Duties
Assist with other tasks as assigned by the supervisor
Stay up-to-date on company policies and procedures
Graduate (B.A., B. Com, or Associate Degree)
Strong organizational and time management skills
Excellent attention to detail and accuracy
Proficient in using computer software, including the Microsoft Office Suite
Experience in timekeeping and payroll systems is a plus
Good communication and interpersonal skills
Ability to work independently and as part of a team
Ability to maintain confidentiality
