We are a dynamic organization seeking an experienced, organized, and proactive Executive Assistant to support our executive leadership team. The ideal candidate will be highly adaptable, detail-oriented, and communicate well.

Key Responsibilities:

  • Executive Support: Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Communication Management: Handle all inbound and outbound communications on behalf of the executive team, including emails, phone calls, and messages.
  • Meeting Preparation: Prepare agendas, presentations, and materials for meetings; take minutes and follow up on action items.
  • Project Coordination: Assist with various projects, ensuring deadlines are met and deliverables are completed accurately.
  • Document Management: Organize and maintain files, documents, and reports, ensuring confidentiality and proper documentation.
  • Travel Coordination: Arrange travel itineraries, accommodations, and transportation for executives and teams.
  • Relationship Management: Serve as the point of contact between executives and internal/external stakeholders, fostering professional relationships.
  • Office Management: Support administrative functions, including expense reporting, office supply management, and coordination of office events.

Qualifications:

  • Experience: Minimum of 3-5 years of experience as an Executive Assistant or similar role.
  • Education: A bachelor’s degree is preferred but not required.

Skills:

  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and scheduling software
  • Attention to detail and ability to maintain confidentiality
  • Problem-solving skills and ability to work under pressure
