The position is responsible for performing a variety of administrative services ensuring transparency of processes, high quality, accuracy and consistency of work. 

Main Responsibilities:

  • Responsible for effective delivery of procurement logistical, Administration, security and common services consistent with organizations as well as donor rules and regulations.
  • Responsible for record-keeping, timely payment to the vendors, accurate Admin documentation, and maintenance of records, correspondence drafting and ensuring supplies to the office are managed and maintained.
  • Properly manage all documents, for the official vehicles and rental vehicles
  • Responsible for coordination, proper functioning, and maintenance of all vehicles as well as rented ones, ensure traveling policies and procedures are being observed by staff and drivers
  • Ensure that office needs are met in order to enable a safe, comfortable and productive working environment
  • Ensure all lease agreements are extended/terminated and all utility bills are paid when due.
  • Must ensure to maintain up to date staff leave record/time sheets and prepare accurate periodic leave reports after reconciliation with attendance register and other records
  • Look after overall organization’s property and assets inventories and records for of

Procurement and Inventory Control

  • Ensures the procurements are made as per procurement policy including services like printing services, building and equipment maintenance services, travel and hotel services etc
  • Supervises appropriate stock of expendable supplies and proper inventory of the equipment, furniture and vehicles at/under the direct control of National Centre
  • Prepare and update inventory status report and submit to NC Administration Unit on quarterly basis after performing physical verification on regular basis.

Travel and Vehicle Management

  • Oversees the SPO vehicles management, prepares duty roster, including daily duties of vehicles/drivers and proper maintenance and smooth functioning of vehicles
  • Ensures that quarterly vehicle maintenance reports are submitted to the NC Administration Unit

Personnel Administration

  • Responsible to maintain and update the personnel files at regional level
  • Facilitate the recruitment and performance evaluations process at the regional level
  • Responsible for submission of quarterly timesheet summary & monthly leave status of staff to HR Unit
  • Oversee the submission and settlement of health insurance claims of staff to the HR unit

Other

  • Adhere to SPO policies and promote participatory culture and demonstrate SPO’s values
  • Participate in professional development training as identified and approved by SPO
  • Carry out any other activities as assigned by the supervisor.
